Large international oil and gas company is looking for Team Assistant.
Responsibilities:
Arrange and coordinate meeting details (e.g., arrange room, catering, interpreter(s), coordinate with security for external visitors, issue meeting notices, etc.); coordinate with IT group regarding any computing needs.
Take meeting notes; Create and manage various project documents; Coordinate document translation requests.
Assist with local purchases such as office supplies; Supporting staff meetings and preparation.
Printing, copying, and scanning documents.
Travel logistics: act as single point of contact in Moscow and coordinate with other office manager s and admin support to ensure all travel needs for Project Team travelers are met (arrange local ground transportation in Moscow, flights to other regions, assistance with local hotel arrangements, etc.).
Coordinate with Houston and Novorossisk move coordinators to organize and manage Project Team moves into Moscow - Interfacing with other team Assistants when possible with work permits and visas (primarily this means engaging with other Company resources performing such tasks so as to reduce the burden on the Company Team member)
In all the above acts as back up to the Administrative Assistant - when cover is required for absence, holidays, sickness etc.
Requirements:
High education.
Preferable: 2-3 in admin. role.
English - Fluent.
Ability to communicate clearly in Russian and in English both orally and in writing.
PC knowledge (Word, Excel).
Excellent interpersonal skills, systematic approach towards job tasks, team player.
