Provide administrative support to the Contracts Manager & Contracts Administrator including but not limited to: Filing Copying Scanning etc. Provide travel arrangement support to the Contracts Manager & Contracts Administrator, transportation and meeting-rooms booking for the meetings, as well as assists in arrangement of catering services when needed.
Reporting: Support the Contracts Administrator to prepare and proactively analyze monthly contract status reports for Project Management to allow timely corrective actions & ensure achievement of project objectives. Maintain/update the contracts deliverables register and communicate progress on contract deliverables to the Contracts Administrator. Ability to prepare written documents for transmittal to contractors
Interpersonal Skills Ability to: Maintain positive relationships with peers, project management team and contractors. Hold self-accountable for progress and results of work deliverables. Seek work direction from Contracts Administrator and ensure the communication on progress on key contractual issues is provided to the Contract Administrator & Contracts Manager.
Requirements: At least 2-year experience in the administration of service contracts. 3-5 years of previous administrative experience on project works (preferably in Oil & Gas International projects). Ability to plan and organize contracting documentation within a contracting system. Attention to detail and ability to manage large volumes of documentation is a must. English and Russian fluency.

Receives the visitors and directs them to the right person. Answers the phone calls and takes messages. Keeps the visitors book and arranges the visitors' passes. Provides Logistics support including visas, air reservations, hotel bookings (through travel desk), VIP and ground transportation, site visits including schedules, airfare, plane leasing, etc. Work in cooperation with the Transport Coordinator to ensure the transportation arrangements are done in a timely and reliable manner. Responsibilities
Review and execute the project’s Contracting Plan Oversee compliance by contractors of client plans and procedures Oversee compliance by contractors of contract deliverables in coordination with various project functions such as, legal, HSE, engineering, project controls, procurement, QA/QC. Develop bid package content for the project’s multiple lump-sum and reimbursable contracts, including: Payment terms and work approval / invoicing procedures General Terms & Conditions (working with the Business Unit’s legal group) Communication procedures Requirements for document management and transmittals (working with project’s Document Control representatives) Reporting requirements for cost, schedule, productivity, etc. (working with Project Control specialists) Develop and complete analysis of proposals submitted by construction contractors Process construction contractors requests for changes with or without cost and schedule impacts Coordinate responses to Contractors’ proposed exceptions to contract documents and terms and negotiate resolutions with involvement from project team and Business Unit stakeholders. Execute and monitor the Company’s Delegation of Authority for new contracts and changes Develop, gain approval of, and execute a procedure for managing contract claims and change orders Serve as a primary point of contact for Contractors. Review and/or draft contractual correspondence. Coordinate verification or approval of contract payment milestones and processes for project team approval of work tickets and/or other documentation required for invoice payment. Process the approval of construction contractors’ subcontractors in accordance with the terms of established procedures Keep well-organized documentation of contractor communications and claims. Utilize project’s Document Management System to update and retain key documentation. Coordinate post award activities including compliance and maintenance of commercial deliverables, release of retention, maintenance and release of bank guarantees Provide contract interpretation and advice to project team members as required, including any necessary interfaces with Business Unit legal group.
